Terms of Service
Last updated: September 27, 2026.
1. Agreement to these terms
These Terms of Service ("Terms") govern your use of AIify — the email/admin assistant operated as Ari ("AIify", "we", "us"). By signing in to or using the service, the business you represent ("you") agrees to these Terms. If you don't agree, don't use the service. If you're accepting on behalf of a business, you represent that you have the authority to bind it.
2. What AIify is (and is not)
AIify is a drafting, routing, and capture tool. You are the sender.
- AIify reads your inbound email, voice memos, photos, calendar, and files; drafts replies; surfaces context; and captures information into a per-business memory.
- Human confirmation is the default for outbound email, and every file change requires explicit confirmation. A workspace owner may affirmatively enable limited automatic sending for routine acknowledgements or routine replies to trusted senders. Money, pricing, new recipients, and high-stakes messages always require human confirmation.
- Ari also adds some calendar events without asking first: an event whose time an authenticated email in your thread confirms, and a tentative hold for a specific time a known, authenticated correspondent proposes. You can undo or remove either, and Ari never emails a calendar invitation without your tap (see the Privacy Policy §5).
- Ari reads a bare "$" as your business's home currency, which is Canadian dollars unless an owner or admin changes it in Settings. It keeps an amount in another currency with that currency and never adds it into your home-currency totals.
- AIify is not a law firm, accountant, financial advisor, insurance broker, or any other licensed professional. Nothing it produces is professional advice. You remain the licensed and responsible professional for your own business.
3. Eligibility & accounts
- The service is for businesses, not consumers, and is not directed to anyone under 18.
- Sign-in is limited to the email addresses your administrator has approved. You're responsible for keeping your sign-in credentials secure and for activity under your account.
- You represent that you have the authority to connect the email, calendar, and file accounts you connect, and to let AIify act on them as described here.
4. Connecting accounts, approvals & sending
- When you connect a provider (Google / Microsoft / Apple iCloud), you authorize AIify to access that account for the features described in the Privacy Policy, using the minimum scopes those features need.
- Outbound messages require explicit confirmation by default. If a workspace owner enables a limited autonomy setting, AIify may send only the routine acknowledgements or trusted-sender replies covered by that setting, and those messages are sent without a per-message confirmation after a short undo window. Every file change still requires confirmation; deletions go to the recoverable recycle bin, never a permanent delete.
- Money and pricing always require your explicit confirmation before anything is sent. There is no autonomous-send path for money, in any mode.
- An independent Outbound Guardian screens every outbound message (recipient checks, money-always-confirmed, scope/intent checks, volume caps) as a safeguard. You remain responsible for your approval and autonomy settings.
5. Your responsibilities
- Review before you approve. You are responsible for the content and consequences of any communication you approve, or that is sent under automatic sending you enabled — deals, quotes, prices, commitments, tone, and any legal or financial outcome that follows.
- Anti-spam law. You are the sender of the messages Ari sends from your mailbox, including the follow-ups it proposes to your customers. You are responsible for having your recipients' consent where the law requires it (in Canada, CASL; in the US, the CAN-SPAM Act), for keeping your business's postal address in Settings accurate, and for honouring opt-out requests you receive in other ways.
- Provide accurate account information and keep it current.
- Use the service lawfully and only for business you're authorized to conduct.
6. Acceptable use
You agree not to use the service to:
- send spam, unlawful, deceptive, harassing, or infringing communications;
- violate the rights of others or any applicable law or regulation;
- attempt to breach, probe, or circumvent the service's security or access controls, or access data that isn't yours;
- act on behalf of a third party whose accounts or data you're not authorized to handle.
7. Fees
Fees, if any, are as set out in your order or separate written agreement with us. Where no fee has been agreed, the service is provided to you at no charge and may be changed or withdrawn at any time.
Each business has a monthly cap on what Ari spends on AI processing: US$100 unless we agree a different amount with you. Near the cap, Ari switches to lighter AI models and skips non-essential AI features. At the cap, it stops AI processing for the rest of the month: Ari keeps receiving your mail, but new mail waits without an AI draft until the next month or until we raise the cap at your request. We are alerted, and so is the workspace owner unless they have paused Ari.
8. Privacy & data
- Your data is handled as described in our Privacy Policy, which is part of these Terms.
- We run on third-party services (subprocessors). As of the date above:
| Subprocessor | Role |
|---|---|
| Google Cloud (GCP) | Hosting in the US: Compute Engine server, Cloud SQL (Postgres) database, Cloud Storage for files and media, Secret Manager |
| Your Gmail, Google Calendar, and Google Drive (if you connect Google); Google sign-in | |
| Microsoft | Your Outlook mail, calendar, and OneDrive (if you connect Microsoft); Microsoft sign-in |
| Apple (iCloud) | Your iCloud Mail and Calendar (if you connect iCloud); Apple sign-in is identity-only |
| Cloudflare | Network edge for the app (Tunnel, Access, DNS); hosts getari.io (Pages), stores early-access requests (Workers KV), and, if enabled, counts page views on getari.io without cookies (Web Analytics) |
| Anthropic | Reasoning, drafting, summarizing, answering questions, and reading photos, scanned pages, and sample documents you upload as templates |
| OpenAI | Text embeddings (the search index) of message and document text |
| Groq | Transcription of voice memos, voicemails, and audio attached to email you receive |
| pyannoteAI | Speaker diarization and voice recognition (voiceprints) for voice memos, voicemails, and audio attached to email you receive, processed in the EU (France) |

| Postmark | Delivery of email sign-in links (your email address and the link) |
- We do not currently have zero-data-retention agreements with our AI subprocessors (see the Privacy Policy §4).
- On cancellation you can export your data, and we delete your business's data within 30 days of your request, as described in the Privacy Policy §6 — including how long copies remain in backups before they age out.
9. Service availability & changes
The service is provided on a commercially reasonable-efforts basis. We may add, change, or discontinue features, and we depend on third-party services whose outages or changes are outside our control. We'll give reasonable notice of material changes where we can.
10. Disclaimer of warranties
The service is provided "as is" and "as available." To the maximum extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that drafts, summaries, or extracted facts are accurate, complete, or error-free — language models can produce mistakes, omissions, or fabricated facts. Your review, approval, and limited autonomy settings are important controls; do not enable automatic sending for work that requires individual review.
11. Limitation of liability
To the maximum extent permitted by law:
- We are not liable for the results of communications you approved, or that were sent under automatic sending you enabled; for decisions you made relying on a draft, summary, or surfaced fact; for errors in third-party services we depend on; or for data you provided that was wrong, stale, or incomplete.
- We are not liable for indirect, incidental, consequential, special, or lost-profit damages.
- Our total liability arising out of or relating to the service is limited to the greater of the fees you paid for the service in the twelve (12) months preceding the event giving rise to the claim and CAD $100.
Some jurisdictions don't allow certain limitations; in that case the above applies to the fullest extent permitted.
12. Indemnification
You will indemnify and hold us harmless against claims arising from communications you approved and sent, or that were sent under automatic sending you enabled, and from your misuse of the service. We will indemnify you against claims arising from our gross negligence or willful misconduct.
13. Term & termination
- You may stop using the service and disconnect any provider at any time. Disconnecting deletes the stored credential, so we can no longer access that account. For Google we also revoke the grant at Google. For Microsoft and Apple, which offer no per-app revoke we can call, you can also remove Ari under your Microsoft account's app permissions, or delete the app-specific password at appleid.apple.com.
- Either party may terminate for material breach. On termination, data is exported and deleted as described in §8.
- Sections that by their nature should survive termination — including §5, §10, §11, §12, and §14 — survive.
14. Governing law & disputes
These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein, without regard to conflict-of-laws rules, and the parties submit to the exclusive jurisdiction of the courts of the Province of Ontario.
15. Changes to these terms
We may update these Terms as the service changes; we'll update the "last updated" date and, for material changes, notify connected businesses by email. Continued use after a change means you accept the updated Terms.
